Every designer has opened a folder named FINAL that contains six files named final. I spent years losing billable hours to my own drives before building a system that actually holds up under deadline pressure. This is the exact structure I use for every client project today.

The folder skeleton

Every project gets the same five folders, created before any design starts: 01-brief (contracts, briefs, client assets), 02-refs (moodboards, inspiration), 03-working (PSD, AI, AE project files), 04-exports (everything the client sees), 05-delivery (final packaged files). The numbers keep them in order everywhere, forever.

Naming that survives chaos

One pattern: client-project-asset-v01.ext. Version numbers always two digits, never words. “Final” is banned; there is only the highest version number. When a client signs off, that version gets duplicated into 05-delivery and never touched again. It sounds strict. It saves relationships.

Exports carry their source

The most painful search in design is holding a JPG and hunting for the PSD it came from. Rule: exports keep the working file’s name (client-poster-v04.jpg comes from client-poster-v04.psd). Ninety percent of “where is the source” questions disappear with this one habit.

Where the system still broke

Old projects. Files from before the system. Clients sending “the file from two years ago, you know the one.” A screenshot of a design with no filename at all.
